– Service charge collection and budgeting

3. SERVICE AGREEMENTS
All property management services are subject to a formal written agreement between Primepex and the client. The agreement will specify:

– Duration and termination provisions
– Responsibilities of both parties

4. FEES AND PAYMENT
4.1 Our fees are outlined in the service agreement and may include:
– Management fees
– Administration charges
– Project management fees
– Emergency call-out charges
4.2 Payment terms:
– Invoices are due within 30 days unless otherwise specified
– Late payments may incur interest charges
– We reserve the right to suspend services for non-payment

6. OUR RESPONSIBILITIES
Primepex commits to:
– Deliver services with reasonable skill and care
– Act in the best interests of our clients
– Maintain appropriate professional standards
– Comply with all applicable UK laws and regulations
– Maintain professional indemnity insurance
– Keep accurate financial records
7. COMPLIANCE AND REGULATIONS
We ensure compliance with:
– UK property management regulations
– Health and safety legislation
– Building regulations
– Data protection laws (UK GDPR)
– Financial conduct requirements
– Residential property management standards
8. MAINTENANCE AND CONTRACTORS
8.1 Routine maintenance will be carried out as per the service agreement.
8.2 Emergency repairs may be authorized without prior approval up to agreed limits.
8.3 Major works require appropriate consultation and authorization.
8.4 We maintain a network of approved contractors and obtain competitive quotes where appropriate.
9. LIMITATION OF LIABILITY
9.1 Our liability is limited to the extent permitted by law.
9.2 We are not liable for:
– Acts or omissions of third-party contractors
– Losses arising from circumstances beyond our reasonable control
– Consequential or indirect losses
– Losses resulting from client failure to follow our advice
9.3 Our total liability shall not exceed the annual management fees paid or £1,000,000, whichever is greater, except in cases of fraud or gross negligence.
10. INSURANCE
We maintain professional indemnity insurance. Clients are responsible for maintaining appropriate property insurance for their buildings and contents.
11. CONFIDENTIALITY
We maintain confidentiality of client information except where:
– Disclosure is required by law
– Disclosure is necessary to perform our services
– You have given consent
– Information is already in the public domain
12. TERMINATION
12.1 Either party may terminate the service agreement by giving written notice as specified in the agreement (typically 30-90 days).
12.2 We may terminate immediately if:
– Fees remain unpaid after notice
– Client breaches material terms
– Illegal activity is suspected
12.3 Upon termination:
– Final accounts will be settled
– All property documentation will be transferred
– Outstanding obligations must be fulfilled
13. COMPLAINTS
We have a formal complaints procedure. Complaints should be submitted in writing to sales@primepex.co.uk and will be acknowledged within 5 working days.
14. DISPUTE RESOLUTION
14.1 We aim to resolve disputes amicably through discussion.
14.2 If resolution cannot be reached, disputes may be referred to:
– Alternative dispute resolution (ADR)
– Mediation
– Industry ombudsman schemes where applicable
14.3 Any legal proceedings shall be subject to the exclusive jurisdiction of the courts of England and Wales.
